Por qué existe

Misión y visión

Misión

Que ningún negocio pequeño dependa de que una sola persona lo recuerde todo.

Sacamos lo que un negocio sabe de la cabeza de su dueño y lo ponemos donde su gente lo pueda ver, todos los días, sin pedir permiso.

Visión

Un negocio propio que no cueste la vida propia.

Locales pequeños donde el dueño cierra la puerta a las seis, se va, y el negocio sigue sabiendo lo que sabe. Donde el equipo no espera instrucciones porque ya está mirando lo mismo. Donde quien emprende tiene tiempo y cabeza para cultivarse en algo más que su propio inventario.

Sección 1

Qué es friendly-123

friendly-123 es una aplicación de control de inventario, ventas y clientes pensada para el pequeño negocio: la tienda de barrio, el local de ropa, la libería boutique, el puesto en el mercado, el stand de feria de fin de semana. Un solo archivo, funciona sin internet, y le dice a golpe de vista qué necesita tu negocio hoy — sin manuales de contabilidad, sin Excel, sin depender de que el dueño esté siempre presente.

Para quién es

Dueños de 1 a 6 puntos de venta (locales, stands, perchas de consignación) que necesitan control real de inventario y plata sin contratar un sistema corporativo.

Su filosofía

Cada producto tiene un color. Tú no memorizas reportes: el color ya te dice si vender, reponer, promover o dejar dormir.

Funciona sin internet

Es una PWA local-first: se instala en el celular o tablet, guarda todo en el dispositivo y sincroniza cuando hay señal.

Sección 2

Primeros pasos

Instalar friendly-123 toma menos de dos minutos. Estos son los pasos, en orden, para tener el local funcionando hoy mismo.

Abre el enlace de tu negocio en Chrome o Safari

Nunca en el navegador interno de WhatsApp o Instagram — ahí los diálogos de confirmación pueden bloquearse. Si te llega por WhatsApp, toca "Abrir en el navegador".

Instálala como app (opcional pero recomendado)

En Android: menú ⋮ → "Instalar app" o "Agregar a pantalla de inicio". En iPhone: botón compartir → "Agregar a inicio". Queda con su ícono "123" propio y abre sin barra de navegador.

Define tus tres códigos de acceso

Cada rol tiene un código de 3 dígitos (000–999) que se guarda cifrado en el dispositivo: código de dueño (ve la plata y la configuración), código de empleado (vende y cuenta stock, no ve ganancias) y código de contador (una subclave aparte que protege la capa contable dentro de Avanzado). Regístralos en Avanzado → Acceso, junto con un correo de recuperación.

Crea tus sucursales y perchas

Una sucursal agrupa perchas para reportes (ej. "Downtown"). Una percha es la unidad operativa real donde vendes (el mostrador, el stand, la mesa de feria). Puedes tener varias perchas por sucursal.

Da de alta tus primeros productos

A mano desde Inventario → "+ Agregar", o escaneando el código de barras en Vendido y llenando la ficha nueva. Define nombre, categoría, precio, costo, proveedor, stock inicial y los umbrales rojo/amarillo (de cuántas unidades para abajo se enciende cada alerta).

Haz tu primer respaldo

Avanzado → Exportar respaldo, protegido con una clave. Guárdalo en tu WhatsApp o Drive. Repite esto cada semana como mínimo — la app te lo recuerda si pasa mucho tiempo.

Recomendación JFC: el primer día, entra a la tienda de muestra (PIN 456) y practica vender, ajustar stock y cerrar el día antes de cargar tu inventario real. Así aprendes sin miedo a "romper" nada.

Checklist de arranque

  • App instalada en el celular o tablet del local
  • 3 códigos de acceso definidos (dueño, empleado, contador) + correo de recuperación registrado en Avanzado → Acceso (si EmailJS está configurado, llega por correo; si no, el código aparece en pantalla)
  • Sucursales y perchas creadas con su tipo (propio, socio, franquicia, consignación)
  • Al menos 10 productos reales cargados con precio, costo y umbrales
  • Gastos mensuales de cada ubicación registrados en Avanzado
  • Primer respaldo cifrado descargado y guardado fuera del celular
  • Empleado capacitado en Vendido + ajuste rápido de stock

Sección 3 — el corazón de la app

El lenguaje de colores: Sistema Simon

Cada producto en friendly-123 está en uno de cinco colores. El color nunca es decorativo: es un diagnóstico automático que combina tu stock, tus umbrales, tu margen y tus días sin vender. Aprende esta tabla una sola vez y ya sabrás leer cualquier percha de un vistazo, para siempre.

Nota importante: cuando un producto perecible está por vencer y además tiene poco stock, la app se queda siempre con la señal más grave de las dos. Un producto con stock sano pero que vence mañana se pinta rojo igual que uno sin stock.

Stock saludable

Un color, un significado

Cada estado tiene un solo color plano. No hay grados ni intensidades: una tarjeta está en verde, en amarillo, en naranja, en rojo o en negro, y eso es todo lo que hay que leer. Antes existía una escala de tres niveles dentro de cada color; se retiró porque obligaba a interpretar matices en vez de reconocer un estado de un vistazo, que es justamente lo que este sistema viene a evitar.

El azul quedó fuera del semáforo a propósito: nunca es una señal de inventario. Si aparece, es parte de la interfaz, no un estado de tus productos.

El rojo es distinto: además del degradé, el rojo pulsa suavemente (una animación de urgencia) para que ningún producto en emergencia pase desapercibido, incluso si el dueño solo mira la pantalla de reojo.

La regla de oro: nunca memorices, solo mira el color

Todo el diseño de friendly-123 parte de una convicción de Juan Fernando Carpio: el dueño de un pequeño negocio no tiene tiempo de leer reportes de 12 columnas cada mañana. Sí tiene tiempo de mirar una pantalla 8 segundos y saber, sin pensar, qué hacer primero. Por eso cada color tiene siempre la misma pregunta implícita:

  • Rojo pregunta: "¿qué se me acaba o se me vence HOY?"
  • Naranja pregunta: "¿qué debo vender primero esta semana?"
  • Amarillo pregunta: "¿qué producto me está dejando más plata y debería empujar?"
  • Negro pregunta: "¿qué plata tengo enterrada en una percha sin moverse?"
  • Verde no pregunta nada — es la ausencia de problema, y eso también es información.
Sección 4

Vista Hoy: el semáforo general del negocio

Es la primera pantalla que ve cualquiera al abrir la app. Resume, en 3 segundos, si el negocio necesita atención hoy.

  • Hero tri-estado del negocio: Verde = sin urgencias. Amarillo = hay productos naranja (revisar esta semana). Rojo = hay productos en emergencia. Productos negro y amarillo-oportunidad no afectan el hero
  • Entró hoy / Salió hoy / Ganancia de hoy / Valor de tu inventario
  • Ventas del día y venta promedio (ticket promedio)
  • Lista de alertas rojas y naranjas ordenadas por urgencia
  • El "apunte del día": una frase de gestión distinta cada día del año

Qué ve el empleado

  • El mismo semáforo y las mismas alertas de stock
  • Cantidad de ventas del día (sin montos de plata ni ganancia)
  • Los productos estrella que el dueño marcó para impulsar hoy

Esta separación es intencional: el empleado sabe qué vender y cuánto se ha vendido, pero la rentabilidad queda solo para el dueño.

Caso: una tienda de camisetas de rock en el centro de Austin vendió hoy $312 en 14 tickets (promedio $22.30). El hero está en amarillo porque hay 3 productos naranja (quedan pocas unidades) pero ninguno en rojo — "manejable, no urgente".
Sección 5

Inventario: la cuadrícula de tarjetas

Cada producto es una tarjeta con su color. Puedes filtrar por estado, ajustar stock sin escanear, marcar estrellas y dar de alta productos nuevos.

Recomendación de umbrales: como regla práctica en pequeños negocios, pon el umbral rojo en el equivalente a 3–5 días de venta normal, y el amarillo al doble de ese número. Un producto que se mueve rápido (una camiseta estrella) necesita umbrales más altos que uno de rotación lenta (un vinilo de colección).

Ajuste rápido de stock (sin escanear)

Cada tarjeta tiene botones − y + para mover 1 unidad sin pasar por el escáner — perfecto para conteos físicos, mermas o ingresos de mercadería. La app siempre pide un motivo corto ("Merma", "Conteo físico", "Regalo a cliente") y lo guarda en el log de movimientos, visible solo para el dueño — el candado natural contra descuadres.

La estrella : el producto que quieres empujar hoy

El dueño puede marcar cualquier producto con una estrella. Ese producto aparece automáticamente en la sección "Para impulsar hoy" de la Vista Hoy y arriba del todo en la cuadrícula de Vendido — así el empleado sabe exactamente qué recomendar sin que el dueño tenga que estar presente.

Filtros de Inventario: Todos · Urgente (rojo) · Revisar (naranja) · Oportunidad (amarillo) · Sano (verde) · Dormido (negro). Úsalos cada mañana en este orden: primero Urgente, luego Revisar, y una vez a la semana revisa Dormido para liberar capital.

Crear variantes sin repetir trabajo

Abre la ficha de un producto y toca Crear variante. Elige qué cambia (color, talla, material, estilo, sabor u otro) y escribe el valor. La app precarga precios y configuración, exige un código propio y deja el stock nuevo en cero. Revisa la información antes de guardar y añade una foto que corresponda a esa variante.

Sección 6

Perchas y sucursales

Una percha es tu unidad operativa: el mostrador, un stand, una mesa de feria. Una sucursal agrupa perchas para reportes y liquidación. Cada percha tiene un tipo de negocio que determina cómo se reparte la plata.

Escalas de comisión: premia el esfuerzo

En vez de un porcentaje fijo, puedes definir escalas que suben la comisión mientras más vende la percha. Ejemplo real de una promotora en el mercado, con meta mensual de $300:

Así la promotora tiene un incentivo directo: mientras más venda, mayor porcentaje se lleva sobre el total — no solo sobre el excedente.

En cada percha de tipo socio, franquicia o consignación hay un botón Commission que abre el editor del trato: % del asociado, meta mensual, tramos/escalas, contribución fija, mínimo garantizado, lectura preferida (asociado/casa) y el interruptor "usar la comisión propia de esta percha" (para ignorar el trato del comisionista cuando quieras que mande el de la percha).

Feria de fin de semana: percha temporal

Para eventos de 2–3 días (una feria artesanal, un bazar navideño) crea una percha marcada como Feria con su propia comisión. Al cerrarla queda archivada con todo su historial y saltas directo a Comisiones para ver su liquidación — sin mezclar sus números con el resto del año.

Fotos de percha con semáforo de meta

La vista Perchas muestra una foto real de cada punto de venta (tomada con la cámara del celular) junto a un semáforo de cuánto lleva cumplido de su meta mensual. Es la forma más rápida de saber, sin abrir números, si una percha va bien.

Sección 7

Vendido: cuadrícula táctil + escáner + cierre del día

Vendido no es un carrito de compras: es control de inventario en tiempo real. Cada toque es una unidad menos en stock, con 5 segundos para deshacer.

Tres formas de registrar una venta

1. Toque directo

Cuadrícula con todos los productos de la percha activa, estrellas primero. Un toque = una unidad vendida. El cliente elegido en el selector aplica a todos los toques.

2. Escaneo o búsqueda

Escribe o escanea el código de barras / SKU. La app suena un beep de confirmación y muestra la ficha completa con precio, stock y estado.

3. Cierre del día

Para quien no registra en vivo: apunta cuántas unidades salieron de cada producto y aplica todo junto al final del día. Descuenta stock y calcula comisiones igual que una venta normal.

Deshacer venta: tras cada toque aparece un aviso de 5 segundos — "Venta registrada, toca aquí para anular". Perfecto para cuando el cliente cambia de opinión o hubo un toque accidental.
Cliente arriba o abajo: puedes elegir el cliente en el selector superior de Vendido, o dentro del panel de venta (botón "Vender con info"). En el panel también hay un botón + New para registrar un cliente nuevo al vuelo — se crea y queda seleccionado en la venta y en tu lista de clientes. Además puedes anotar notas de la venta (por ejemplo, "cliente pidió factura" o "se llevó el último en talla M"), que quedan guardadas con la venta.

Ejemplo de cierre del día — tienda de libros latinoamericanos

La librería del centro no registra venta por venta durante el día. Al cerrar, el dueño cuenta lo que falta en la mesa y apunta:

Al aplicar, la app descuenta el stock de las 3 obras y suma esas ventas al resumen del día — como si se hubiera registrado en vivo.

Venta de la casa, cortesía y fiado

Venta de la casa es una venta pura de la casa: no se asigna comisión a nadie y no cambia al comisionista de la percha. Se elige venta por venta; nunca es obligatorio escoger comisionista.

Cortesía: el cliente no paga (ingreso $0), pero el costo sí cuenta. Fiado: la venta se suma a la deuda del cliente en Clientes; necesita un cliente elegido.

Sección 8

Etiquetas: código de barras y QR listos para imprimir

Cada producto genera su propia etiqueta con código de barras Code128 real (escaneable) y un QR opcional que contiene el código del producto. No abre una ficha web ni publica datos del negocio. Todo se dibuja localmente — sin depender de ningún servicio externo.

Qué trae la etiqueta imprimible

  • Nombre del producto y precio grande (fácil de leer desde lejos en un mostrador)
  • Fecha de vencimiento si el producto es perecible
  • Código de barras Code128 escaneable por cualquier lector
  • Código QR con el código del producto, para lectores compatibles. No abre otra aplicación ni publica una ficha del negocio.
  • Puedes tocar el código de barras para imprimir solo el código, o guardarlo como imagen PNG — ideal para pegatinas hechas por fuera
Recomendación: imprime etiquetas en lote una vez por semana para todo lo que llegó nuevo. Una hoja de 20 etiquetas autoadhesivas cuesta entre $0.50 y $1.20 en una papelería — rentabilízalo etiquetando solo lo que realmente rota.

En iPhone: al tocar Imprimir aparece la hoja de impresión de Safari. Desde allí eliges una impresora AirPrint o guardas/compartes el resultado.

Sección 9

Clientes y la matriz de estaciones (RFM)

Cada cliente recibe un código único al registrarse. La app clasifica automáticamente a cada uno en una "estación" según qué tan seguido compra y cuánto gasta — la misma lógica que usan las grandes cadenas (RFM: Recencia, Frecuencia, Monto) pero contada con metáforas de siembra, fáciles de recordar sin cursos de marketing.

Otoño — enfriándose

Eran de tus mejores clientes y hace rato no vienen. Búscalos hoy: son la esquina donde se recupera plata perdida.

Verano — en plena cosecha

Compran seguido y fuerte. Cuídalos como oro: son tu ingreso más estable.

Invierno — dormidos

Sin señales de vida. Un mensaje personalizado puede despertarlos.

Primavera — creciendo

Recién germinan. Riégalos: una atención pequeña y vuelven.

Derecha: compran hace poco. Arriba: dejan más dinero. (Pasa el mouse sobre cada cuadrante.)

Cómo se usa en la práctica

Registra al cliente en el mostrador

Nombre y teléfono (opcional). La app genera un código único al instante — se lo puedes mostrar o anotar en su recibo.

Selecciónalo al vender

En Vendido, el selector "Cliente" aplica ese código a la venta. Así la app arma su historial sin trabajo extra.

Revisa la matriz una vez por semana

El cuadrante Otoño es tu lista de reactivación prioritaria: son clientes que ya demostraron que compran fuerte, solo hace falta un empujón.

Caso real: en la boutique de ropa andina, "Doña Carmen" compró 4 veces en 60 días por un total de $145 (verano), pero "Sr. Andrade" compró 3 veces por $210 hace más de 70 días — cayó a otoño. Un mensaje de WhatsApp con la nueva colección de bufandas de alpaca ($25–35) puede recuperarlo antes de que llegue a invierno.

Importar tu cartera de golpe (CSV)

Si ya tienes una lista de clientes, el dueño puede subirla toda de una vez desde el bloque "Importar tu cartera desde un archivo", al fondo de esta misma sección. Necesita un CSV con dos columnas —nombre y teléfono— y cada cliente recibe su código único automáticamente. El formato exacto, con ejemplo y reglas, está en la Sección 13. El empleado no ve este botón: para él existe solo el registro manual de arriba.

Editar y borrar clientes: el dueño y el admin pueden editar el contacto y las notas de cualquier cliente (botón ✎) y también borrarlo por completo (botón Delete). El borrado es definitivo — el cliente sale de la lista y del selector de ventas — pero siempre queda constancia en el registro de actividad: quién lo borró, a quién y cuándo. El empleado no ve el botón de borrar.

Fiado, abono y pago pendiente

Fiado es lo que el cliente te debe. Abono es crédito a su favor: puede ser para un producto o «sin determinar». El saldo de cada cliente se calcula siempre de su historial, nunca se escribe a mano.

El botón Pago pendiente muestra con un toque solo a los clientes que te deben. Si la app no pudo verificar el saldo de alguno, te lo dice en vez de esconderlo.

Sección 10

Comisiones: lo que le debes a cada promotor/a

Calculado venta por venta, sin Excel y sin sorpresas. Cada percha de tipo socio, franquicia o consignación aparece aquí con su liquidación del mes.

Qué muestra cada tarjeta de liquidación

  • Ventas brutas del mes de esa percha
  • Comisión de la promotora (según su % fijo o su escala)
  • Neto que queda para el dueño
  • Cumplimiento de meta mensual, si la percha tiene una definida
  • Alerta si la percha lleva 7+ días sin ninguna venta ("percha dormida")
  • Botón "Marcar como pagado" una vez que le transfieres o entregas su comisión
  • De dónde sale el %: si el comisionista tiene su propio trato, la tarjeta lo indica ("usando el trato propio del comisionista"); si no, usa el estándar de la percha
  • Contribución fija y avisos del trato (por ejemplo, si la contribución fija se ignora porque la percha usa escalas por meta)

Editar un comisionista (✎)

Toca el botón ✎ Edit en la tarjeta de un comisionista (o el nombre del promotor dentro de una liquidación) para abrir su editor. Ahí puedes cambiar su nombre, su % base, su meta mensual, sus tramos/escalas, sus datos de pago (teléfono, cédula, banco, cuenta) y notas. Si el comisionista tiene meta y escalas propias, estas mandan sobre las de la percha.

Escalas de comisión por meta

En el editor del comisionista (o en el botón Commission de una percha) puedes definir tramos: el % sube mientras más vende en el mes. Ejemplo con meta de $300: hasta $80 → 25%, hasta $100 → 30%, hasta $120 → 35%, $999+ → 40%. El % se aplica sobre el total vendido, no solo sobre el excedente.

Matriz RFM de promotores/as

Al final de Comisiones, una matriz de 4 cuadrantes clasifica a cada promotor según su valor (ventas del mes) y su recencia (días sin vender): Campeones (alto valor y activos), En riesgo (alto valor pero dormidos), Promesa (activos pero de bajo valor) y Dormidos. Es la misma lógica de la matriz de clientes, aplicada a tu equipo de ventas.

Ranking de promotores/as

Un medallero automático que muestra unidades vendidas, ventas brutas, su SKU más fuerte y una alerta si algún promotor lleva más de 7 días sin vender nada — útil para detectar a tiempo si alguien necesita apoyo o capacitación.

Enviar resumen por WhatsApp: un botón arma automáticamente el resumen del día (ventas, comisiones pendientes, stock crítico) y abre WhatsApp listo para enviarlo a quien tú elijas — sin copiar y pegar números a mano.
Sección 11

Matriz BCG de tu inventario

Basada en ventas de los últimos 60 días, clasifica automáticamente cada producto en uno de cuatro cuadrantes clásicos de gestión de portafolio — sin que tengas que calcular nada.

Promesas

Venden poco pero van subiendo. Dales vitrina y espacio para crecer.

Estrellas

Venden mucho y van subiendo. Protege su stock — son tu futuro inmediato.

Pesos muertos

Sin movimiento en 60 días. Libera ese capital con descuentos o combos.

Vacas lecheras

Venden mucho, estables. Financian todo lo demás del negocio.

Derecha: venden más que el promedio. Arriba: van creciendo. (Pasa el mouse sobre cada cuadrante.)

Cómo usarla cada mes: revisa vacas lecheras para asegurar que nunca les falte stock (son tu flujo de caja), revisa promesas para decidir a cuáles darles más espacio de percha o etiqueta de "novedad", y revisa pesos muertos junto con el filtro negro de Inventario para planear una liquidación conjunta.

Modo Avanzado: la capa contable

Aquí vive el detalle técnico del negocio — actividad, gastos, y la contabilidad ligera (P&G, balance e inventario valorizado). No es para el día a día; es para el contador, el administrador, o el dueño que quiere ver los números a fondo. Por eso pide su propia subclave.

Gastos mensuales

Arriendo, luz, sueldos, internet, etc. Ingresas el total mensual de cada ubicación y la app lo reparte entre los días reales del mes (28 a 31) para estimar el gasto operativo del día dentro del P&G.

Ejemplo: un local del centro con arriendo $280, luz $35, internet $25 y un ayudante a medio tiempo $180 suma $520/mes. Entre 31 días de julio, eso son $16.77/día de gasto operativo que la app resta automáticamente de la utilidad bruta de hoy.

Caja chica (en la pestaña Gastos)

El control de efectivo de cada percha vive ahora en la pestaña Gastos (antes estaba dentro de la carpeta de la percha). Elige la percha, ves su saldo y registras + Ingreso o − Retiro con su motivo. Solo lo ven el dueño y el admin; es un control operativo de efectivo en el punto físico, no reemplaza el P&L ni las comisiones.

Impuesto (IVA, VAT, GST, sales tax): arriba del P&G eliges el impuesto de tu negocio: tasa, nombre y cómo se aplica. Incluido en el precio (IVA/VAT) o sumado al cobrar (sales tax de EE. UU.). Un selector de país sugiere valores, y ahí mismo eliges tu moneda. Cada venta guarda el impuesto que tenía al hacerse, y los productos exentos se marcan en su ficha. Es un ajuste del cuaderno: vale para todos tus aparatos y va en el respaldo. Solo el dueño o un admin lo cambian. En cualquier caso, esto es un insumo para tu contador, no una declaración ante la autoridad tributaria.

Balance simplificado e inventario valorizado

El balance suma el efectivo estimado del día más el valor de todo tu inventario a precio de venta. El inventario valorizado desglosa, producto por producto, cuánto vale a costo, cuánto vale a precio de venta, y cuál es tu utilidad potencial si vendieras todo hoy — útil para saber cuánto capital tienes realmente "parado" en la percha.

Actividad reciente

Un historial cronológico de todo lo que pasó: ventas, ajustes de stock con su motivo, altas de producto, anulaciones, cambios de estrella, transferencias entre perchas y liquidaciones de comisión. Es tu bitácora anti-descuadre — si algo no cuadra al final del mes, aquí está el rastro completo.

Sección 13

Exportar CSV contable y hacer respaldo

friendly-123 nunca depende de un servidor externo para tus datos. Se guardan en tu dispositivo (y, si activas el cuaderno compartido, viajan cifrados entre tus dispositivos), y tú decides cuándo sacarlo en dos formatos distintos según lo que necesites.

Formato A — Reporte contable en CSV (para tu contador)

Desde Avanzado → "Descargar reporte contable (.csv)". Es un archivo de texto separado por comillas que Excel o Google Sheets abren directamente, con acentos correctos (incluye BOM UTF-8). Esta es la estructura exacta que genera:

El archivo se descarga con el nombre reporte-contable-friendly-2026-09-22.csv — la fecha de descarga queda siempre en el nombre para no confundir versiones.

Recomendaciones para el CSV:
  • Descárgalo el mismo día que se lo envías al contador — es un corte del día en curso, no acumulado histórico.
  • Ábrelo en Google Sheets si vas a compartirlo por enlace en vez de adjunto; conserva las tildes gracias al BOM.
  • Si manejas varias ubicaciones, descárgalo una vez por cada percha/sucursal (selecciona la ubicación arriba antes de exportar) — el reporte siempre corresponde a la ubicación activa en pantalla.
  • Guarda una copia mensual en una carpeta con el nombre del mes; con 12 archivos al año tienes tu historial contable completo sin depender de la nube de nadie.

Formato B — Respaldo completo cifrado (.json)

Este es el respaldo real de todo el negocio: productos, ventas, clientes, perchas, comisiones y tus códigos de acceso. Está en Avanzado, debajo de la subclave contable, porque es una acción sensible.

Exportar respaldo

La app te pide una clave de al menos 8 caracteres para proteger el archivo (puedes dejarla en blanco, pero no se recomienda). Se descarga como respaldo-friendly-2026-09-22.json.

Guárdalo fuera del celular

Envíatelo por WhatsApp a ti mismo, súbelo a Google Drive, o mándalo por correo. Si el celular se pierde o se daña, este archivo es la única forma de recuperar el negocio completo.

Importar respaldo (si hace falta restaurar)

Avanzado → Importar respaldo → selecciona el archivo → ingresa la clave. Esto reemplaza todos los datos actuales — la app siempre pide confirmación explícita antes de proceder.

Importante: si pierdes la clave de un respaldo cifrado, ese archivo no se puede recuperar — no existe una puerta trasera. Anota la clave en un lugar distinto al archivo mismo.

Formato C — Importar tu cartera de clientes (CSV)

Si ya tienes tus clientes en Excel, en el celular o en otra app, no hace falta teclearlos uno por uno. Guarda tu lista como CSV y súbela desde Clientes → (al fondo) "Importar tu cartera desde un archivo". Solo el dueño ve este botón; el empleado únicamente registra clientes a mano.

El archivo necesita dos columnas, nombre y teléfono, en ese orden. La primera fila puede ser un encabezado (la app lo detecta y lo salta). Así se ve un archivo válido:

Al terminar, la app te dice exactamente cuántos agregó, cuántos saltó por repetidos y cuántos ignoró por no tener nombre — así sabes que tu cartera entró completa.

Cómo sacar el CSV desde Excel o Google Sheets: deja tus datos en dos columnas (nombre, teléfono), luego Archivo → Descargar / Guardar como → CSV. Si al abrir el archivo ves los nombres separados por comas, ya está listo para friendly-123.

Puntos de restauración automáticos

Además del respaldo manual, friendly-123 guarda —solo dentro de ese navegador— una foto de tus datos cada cierto tiempo, por si borras algo sin querer. Esto no reemplaza el respaldo manual: si se borra el caché del navegador o cambias de celular, esos puntos se pierden con él.

Formato D — Respaldo automatizado a ti mismo (correo y/o WhatsApp)

La forma más segura de no perder nunca tus datos por olvido. En Avanzado, con el deslizador (slider) de frecuencia, eliges cada cuánto quieres que la app te obligue a respaldarte — diario, semanal, quincenal o mensual — y por cuáles canales, correo y/o WhatsApp. El mensual es el mínimo obligatorio y no se puede alargar más: así, si algún mes se te pasa por completo, nunca pierdes más de 30 días de historial. Tú fijas y modificas esa frecuencia cuando quieras.

El backup va a TI, no a nosotros. Nunca pasa por ningún servidor. La app usa el propio correo y WhatsApp que ya tienes configurados en tu teléfono para forzarte a enviarte tu información a ti mismo/a:
  • En teléfono o tablet: al tocar "Respaldar" se abre el menú de compartir de tu propio celular con el archivo ya adjunto. Eliges tu WhatsApp o tu Gmail, te lo envías a ti mismo/a y listo. No tienes que buscar ni adjuntar nada a mano.
  • En computadora: se descarga el archivo y se abre el correo/WhatsApp con el mensaje ya escrito; ahí sí adjuntas el archivo recién descargado y envías. Es el máximo posible sin servidor en una laptop.
Tu clave (PIN) usa exactamente el mismo método. Cuando la recuperas, la app siempre te la muestra en pantalla y además te abre un correo tuyo, hacia ti mismo/a, con tu clave dentro, para que quede guardada en tu bandeja. Igual que el respaldo: nunca pasa por un servidor. Aparte, si quieres compartir datos entre dos equipos, tienes también QR y la sincronización opcional, ambos en Avanzado.
Sección 14

Transferencias entre perchas

El dolor más común en negocios con más de un punto de venta: una percha se queda sin stock mientras la de al lado tiene de sobra, y nadie se entera hasta que el cliente ya se fue. friendly-123 lo detecta en el momento exacto en que más importa.

Cómo funciona

  • Cuando un producto está en rojo o naranja, la app revisa si ese mismo SKU tiene stock sano en otra percha activa.
  • Si lo encuentra, muestra un aviso directo en la ficha del producto: "Hay 18 unidades en Local Downtown" con un botón para solicitar la transferencia sugerida.
  • La cantidad sugerida siempre deja stock suficiente en el origen (nunca vacía la percha que presta).
  • El dueño de origen aprueba la transferencia desde Avanzado — en ese momento el stock se descuenta del origen y queda “en tránsito”.
  • El dueño de destino confirma la recepción (también desde Avanzado) — solo entonces el stock se suma al destino. Si el mismo dueño maneja ambos puntos, son dos clics distintos: uno para aprobar y otro para confirmar.
Caso: el Stand del Farmers Market se quedó con solo 3 camisetas Queen (umbral rojo: 6). El Local Downtown tiene 20 unidades del mismo SKU. La app sugiere transferir 7 — la mitad del excedente disponible — sin que nadie tenga que ir a contar percha por percha.
Sección 15

Seguridad, respaldo automático y modo sin internet

Códigos de acceso por rol

Tres códigos de 3 dígitos, cifrados en el dispositivo (dueño, empleado, contador). Un correo de recuperación permite generar uno nuevo si se olvida.

Guardia de doble pestaña

Si abres el negocio en dos pestañas o dispositivos a la vez, la app lo detecta y avisa — evita que una venta se pierda porque la última pestaña en guardar "pisó" a la otra.

Caja negra de errores

Guarda los últimos 20 errores técnicos en el dispositivo. Si algo falla, puedes mandarle esa información a soporte por WhatsApp sin necesitar herramientas de programador.

Sincronización multi-dispositivo

En «Sincronizar equipo», copia la licencia de tu equipo y compártela una vez con cada dispositivo. Misma licencia, mismo cuaderno: ventas, stock y PINs quedan sincronizados solos. Los datos del cuaderno viajan cifrados entre sus dispositivos; FRIENDLY-123 no puede leerlos.

Modo sin conexión (PWA)

El "cascarón" de la app —pantallas, botones, lógica— se guarda en el dispositivo la primera vez que abres friendly-123, así que vuelve a abrir incluso sin señal. Lo único que siempre se pide fresco, nunca desde caché, son tus datos reales y las actualizaciones de versión.

Buen hábito semanal: los domingos en la noche, exporta el respaldo cifrado y descarga el CSV contable del mes en curso. Toma menos de 2 minutos y es la diferencia entre perder un mal día y perder un negocio entero.

Si olvidas tu clave

Toca «¿Olvidaste?» en la pantalla de entrada. Si alguien del equipo olvidó su PIN, el dueño o un admin puede cambiarlo desde la lista de equipo (Avanzado → Equipo y acceso).

Sección 16 — lo más nuevo

Tu instancia, tu equipo y el control anti fraude

Estas son las novedades que convierten friendly-123 de "una maqueta bonita" en tu negocio, con tu gente y tus reglas.

Probar, activar y comprar

Con el PIN 456 entras a la tienda de muestra: datos ficticios para practicar vender, ajustar stock y cerrar el día. La tienda de muestra nunca vence.

Con el PIN 789 activas tu instancia: registras tu correo y tu WhatsApp, y el dispositivo pasa a ser tuyo, con un identificador único para que tus datos nunca se mezclen con los de otro negocio. Desde ese día tienes 30 días de uso completo, sin topes.

Al terminar la prueba sin licencia pagada, la app queda en solo lectura: puedes ver y exportar toda tu información, pero no registrar nada nuevo. Tus datos nunca se borran. Para seguir registrando, compra tu licencia por WhatsApp +593 99 990 5080 o en staff@jfcarpio.com. La licencia pagada vale para todos los dispositivos de tu negocio y se activa sola, sin volver a entrar.

Tus datos son tuyos. Se guardan en tu dispositivo. Si activas el cuaderno compartido, viajan cifrados entre tus dispositivos y nadie más puede leerlos.

Tu nombre de negocio, arriba

Como dueño verás un lápiz ✎ junto al título de arriba. Tócalo y escribe el nombre real de tu negocio: queda guardado en tu instancia y viaja en tus respaldos y sincronizaciones. Si por lo que sea fallara, el título por defecto se queda y nada más se rompe.

Tu equipo: empleados con su propio PIN

En Avanzado → Empleados das de alta hasta 49 empleados, cada uno con su nombre y su PIN de 3 dígitos. Cuando entran con su PIN, cada movimiento que hacen queda firmado con su nombre en el historial: quién vendió, quién ajustó stock, quién anuló. Usa PINs distintos al tuyo y al del contador.

Control anti fraude

En Avanzado → Control anti fraude tienes, de un vistazo, tres cosas:

Integridad del historial

Cada movimiento va sellado y encadenado al anterior. Si alguien edita o borra el historial en el equipo para tapar un faltante, el sello no cuadra y aquí sale en rojo, señalando dónde se rompió y qué persona rodea la ruptura.

Anulaciones por persona

Cuántas ventas anuló hoy cada empleado. El truco clásico —vender, cobrar en efectivo y luego anular la venta para quedarse la plata— deja rastro aquí.

Mermas por persona

Cuántas unidades bajó a mano cada empleado (los ajustes negativos). Un robo disfrazado de "rotura" o "merma" se ve sumado, con nombre.

Honestidad técnica: como todo corre en tu equipo, el sello detecta la manipulación común y deja evidencia, pero no es a prueba de un experto con tiempo. Para el día a día de un quiosco, es justo la red que necesitas.

Cuaderno compartido: todo tu equipo al día

Si usas el negocio en más de un dispositivo (caja y bodega, por ejemplo), abre Avanzado → Sincronizar equipo, copia la licencia de tu negocio y entrala una vez en cada dispositivo. Misma licencia, mismo cuaderno: ventas, stock, clientes y PINs quedan sincronizados solos. Los datos viajan cifrados de extremo a extremo.

Una licencia corresponde a un solo negocio: no crees un negocio paralelo en otro aparato. Con ambos aparatos conectados y despiertos, el objetivo es que los cambios aparezcan en menos de 2 segundos; si uno está sin internet o Safari lo suspendió, conserva su copia y se pone al día al reconectar. El indicador junto a Ayuda muestra el estado: sincronizado, conectando o fuera de línea. Estar conectado no reemplaza el respaldo descargable.

Instalar es opcional

friendly-123 funciona entrando a tu URL, siempre. Si quieres, tu teléfono te ofrecerá "Agregar a pantalla de inicio" para tenerla como un ícono más, pero es un extra, no un requisito. La primera opción siempre es entrar.

Sección 17 — de principio a fin

Casos reales de aprovechamiento full

Cinco negocios distintos, cinco formas distintas de exprimir friendly-123. Todas las cifras están en dólares, a escala real de pequeño negocio.

Tienda de rock — 3 perchas en Austin

Local Downtown (propio), Stand Farmers Market (socio, comisión escalonada) y Makers Fair (consignación). Vende camisetas, vinilos, souvenirs y coleccionables.

  • Inventario: 61 SKU activos, valor de venta total ≈ $3,540, margen promedio 55%.
  • Uso del semáforo: cada mañana el dueño filtra Inventario en rojo (3–5 productos típicamente) y repone antes de abrir; revisa negro una vez por semana para liquidar coleccionables sin movimiento en 45+ días (ej. el VHS "The Wall" dormido desde abril).
  • Comisiones: la promotora del Mercado gana entre $20–41/mes según su escala; el dueño ve en un vistazo si alguna percha lleva 7+ días dormida.
  • Transferencias: usa el aviso automático para mover camisetas estrella entre Downtown y el Farmers Market cuando una se queda corta.

Boutique de artesanía y ropa andina — Santa Fe

Sombreros de paja toquilla, aretes de filigrana, bufandas y chales de alpaca, pulseras de mullos. Ticket promedio más alto que el resto de casos.

  • Precios reales: Sombrero de paja toquilla $30, Aretes de filigrana $22 (estrella , margen 73% → amarillo), Bufanda de alpaca $25, Chal bordado $35.
  • Uso del color amarillo: los aretes de filigrana tienen margen altísimo (costo $6 sobre precio $22) — la app los marca amarillo automáticamente. El dueño los usa como "producto de entrada" en redes sociales porque cada venta deja mucha plata.
  • Matriz de clientes: turistas ocasionales caen naturalmente en primavera o invierno; clientas locales frecuentes (bodas, eventos) llegan a verano — la boutique les avisa primero de colecciones nuevas.

Librería boutique de narrativa latinoamericana

Catálogo curado de 8 autoras y autores contemporáneos: Mariana Enríquez, Fernanda Melchor, Samanta Schweblin, Dolores Reyes, entre otras. Precios entre $17 y $22.

  • Umbrales bajos por naturaleza: son libros de tiraje limitado — umbral rojo típico de 3 unidades, amarillo de 6. Con solo 2 unidades en bodega, "Mugre rosa" ya se enciende rojo.
  • Cierre del día: como las ventas son pocas pero de ticket alto, el dueño no registra en vivo — usa el cierre del día al cerrar la librería, apuntando cuántos ejemplares salieron de cada título.
  • Etiquetas: imprime código de barras + QR con el código de cada libro para identificarlo con un lector compatible. El QR no abre la sinopsis en el celular.

Tienda de barrio / minimarket — productos básicos

Agua, pilas, cinta adhesiva, fundas de regalo, chicles. Márgenes ajustados por naturaleza del rubro.

  • Margen bajo: Agua sin gas 600ml cuesta $0.70 y se vende a $0.80: margen de apenas 12.5%. En básicos de alta rotación es normal, pero vale la pena negociar con el distribuidor cada seis meses. Revisa estos márgenes en el reporte contable.
  • Alta rotación, ticket bajo: ideal para el modo Vendido por cuadrícula táctil — decenas de toques rápidos al día sin escribir nada.
  • Reporte contable: con márgenes tan ajustados, el dueño revisa el CSV contable cada semana (no solo mensual) para vigilar que el volumen sí compense el margen bajo.

Feria de fin de semana — evento de 2–3 días

Una feria artesanal o bazar navideño usando la percha temporal "Feria de fin de semana" con comisión de consignación.

  • Antes del evento: el dueño abre la feria desde Inventario → Perchas, define el nombre del evento (ej. "Holiday Market") y su % de comisión (30% en el ejemplo por defecto).
  • Durante el evento: se asignan productos a esa percha y se vende por cuadrícula táctil — rápido, sin fricción, ideal con mucha gente en fila.
  • Al cerrar: un toque archiva la percha (conserva todo su historial) y salta directo a Comisiones, mostrando la liquidación lista para pagarle al consignatario esa misma noche — sin esperar al cierre de mes.
Sección 18

Preguntas frecuentes

La app se queda siempre con la señal más grave entre las dos: si el vencimiento es más urgente que el nivel de stock, gana el vencimiento (y viceversa). Nunca se combinan colores ni se promedian — un producto muestra un solo color a la vez, el más urgente.

No. La Vista Hoy, los reportes de Avanzado y el detalle de comisiones están reservados al código de dueño (y al de contador para la capa contable). El empleado ve stock, ventas registradas y productos estrella, nunca montos de ganancia.

La percha es donde realmente vendes (el mostrador, el stand, la mesa de feria) — es la unidad operativa. La sucursal es un agrupador que usa la app para reportes y para organizar varias perchas bajo un mismo nombre en el gestor de Inventario → Perchas.

Sí, en cualquier momento desde la ficha del producto. La app exige que el umbral rojo sea siempre menor que el amarillo — si los pones al revés, no deja guardar y explica por qué.

Se pierde todo lo que no esté respaldado: los puntos de restauración automáticos viven solo en ese navegador y se pierden con el dispositivo. Por eso el respaldo manual cifrado (Avanzado → Exportar respaldo), guardado fuera del celular, es indispensable — no opcional.

No. Es un insumo ordenado para que tu contador trabaje más rápido — el propio archivo lo advierte en su primera línea. La declaración formal ante la autoridad tributaria siempre debe hacerla un profesional acreditado.

Cuando el stock está sano (por encima del umbral amarillo) pero no ha tenido ninguna venta en 45 días o más.

No. Es local-first: funciona completamente offline en el día a día. El internet solo se necesita para sincronizar entre varios dispositivos o hacer respaldos en la nube — y hasta eso tiene un método alterno por WhatsApp sin conexión directa.

friendly-123 is an inventory, sales and customer control app designed for the small business: the corner store, the clothing shop, the boutique bookstore, the market stall, the weekend fair stand. A single file, it works without internet, and tells you at a glance what your business needs today, with no accounting manuals, no Excel, and no need for the owner to always be there.

Who it is for

Section 2

First steps

Setting up friendly-123 takes less than two minutes. These are the steps, in order, to have your shop running today.

Open your business link in Chrome or Safari

Never in the in-app browser of WhatsApp or Instagram: confirmation dialogs can be blocked there. If it reaches you through WhatsApp, tap "Open in browser".

Install it as an app (optional but recommended)

On Android: menu ⋮ → "Install app" or "Add to home screen". On iPhone: share button → "Add to Home Screen". It gets its own "123" icon and opens without a browser bar.

3

Set your three access codes

Each role has a 3-digit code (000–999) stored encrypted on the device: the owner code (sees money and settings), the employee code (sells and counts stock, does not see profits) and the accountant code (a separate sub-key that protects the accounting layer inside Advanced). Register them in Advanced → Access, together with a recovery email.

Create your branches and shelves

A branch groups shelves for reports (e.g. "Downtown"). A shelf is the real operating unit where you sell (the counter, the stand, the fair table). You can have several shelves per branch.

Add your first products

By hand from Inventory → "+ Add", or by scanning the barcode in Sold and filling in the new card. Set the name, category, price, cost, supplier, starting stock and the red/yellow thresholds (below how many units each alert turns on).

Make your first backup

Advanced → Export backup, protected with a key. Save it in your WhatsApp or Drive. Repeat this at least every week; the app reminds you if too much time goes by.

JFC's recommendation: on day one, open the sample store (PIN 456) and practice selling, adjusting stock and closing the day before loading your real inventory. That way you learn without fear of "breaking" anything.

Startup checklist

Section 3: the heart of the app

The color language: the Simon System

Every product in friendly-123 is in one of five colors. The color is never decorative: it is an automatic diagnosis that combines your stock, your thresholds, your margin and your days without a sale. Learn this table once and you will read any shelf at a glance, forever.

Important note: when a perishable product is about to expire and also has low stock, the app always keeps the more serious of the two signals. A product with healthy stock that expires tomorrow is painted red just like one with no stock.

Healthy stock

One color, one meaning

Each state has a single flat color. There are no grades or intensities: a card is green, yellow, orange, red or black, and that is all there is to read. There used to be a three-level scale inside each color; it was removed because it forced you to interpret shades instead of recognizing a state at a glance, which is exactly what this system is meant to avoid.

Blue was left out of the traffic light on purpose: it is never an inventory signal. If it appears, it is part of the interface, not a state of your products.

Red is different: besides the gradient, red pulses gently (an urgency animation) so that no product in an emergency goes unnoticed, even if the owner only glances at the screen.

The golden rule: never memorize, just look at the color

The whole design of friendly-123 starts from a conviction of Juan Fernando Carpio: a small-business owner has no time to read 12-column reports every morning. They do have time to look at a screen for 8 seconds and know, without thinking, what to do first. That is why each color always carries the same implicit question:

  • Red asks: "what is running out or expiring TODAY?"
  • Orange asks: "what should I sell first this week?"
  • Yellow asks: "which product is making me the most money and should be pushed?"
  • Black asks: "what money do I have buried on a shelf, not moving?"
  • Green asks nothing: it is the absence of a problem, and that is information too.
Section 4

Today view: the business's overall traffic light

It is the first screen anyone sees when opening the app. It sums up, in 3 seconds, whether the business needs attention today.

What the owner sees

  • Three-state business hero: Green = no emergencies. Yellow = there are orange products (review this week). Red = there are products in an emergency. Black and yellow-opportunity products do not affect the hero
  • In today / Out today / Today's profit / Value of your inventory
  • Sales of the day and average sale (average ticket)
  • List of red and orange alerts sorted by urgency
  • The "note of the day": a different management tip for every day of the year

What the employee sees

  • The same traffic light and the same stock alerts
  • Number of sales of the day (no money amounts or profit)
  • The star products the owner marked to push today

This split is intentional: the employee knows what to sell and how much has been sold, but profitability stays with the owner only.

Case: a rock T-shirt shop in downtown Austin sold $312 today in 14 tickets (average $22.30). The hero is yellow because there are 3 orange products (few units left) but none in red: "manageable, not urgent".

Inventory: the card grid

Each product is a card with its color. You can filter by status, adjust stock without scanning, mark stars and add new products.

Threshold recommendation: as a practical rule for small businesses, set the red threshold at 3–5 days of normal sales, and the yellow one at twice that number. A fast-moving product (a star T-shirt) needs higher thresholds than a slow one (a collector's vinyl).

Quick stock adjustment (no scanning)

Each card has − and + buttons to move 1 unit without going through the scanner: perfect for physical counts, shrinkage or incoming goods. The app always asks for a short reason ("Shrinkage", "Physical count", "Gift to customer") and saves it in the movement log, visible only to the owner: the natural lock against mismatches.

The star : the product you want to push today

The owner can mark any product with a star. That product automatically appears in the "Push today" section of the Today view and at the very top of the Sold grid, so the employee knows exactly what to recommend without the owner having to be there.

Inventory filters: All · Urgent (red) · Review (orange) · Opportunity (yellow) · Healthy (green) · Dormant (black). Use them every morning in this order: first Urgent, then Review, and once a week check Dormant to free up capital.

Create variants without repeating work

Open a product's card and tap Create variant. Choose what changes (color, size, material, style, flavor or other) and type the value. The app preloads prices and settings, requires its own code and starts the new stock at zero. Check the information before saving and add a photo that matches that variant.

Section 6

Shelves and branches

A shelf is your operating unit: the counter, a stand, a fair table. A branch groups shelves for reports and settlement. Each shelf has a business type that decides how the money is split.

Commission tiers: reward the effort

Instead of a fixed percentage, you can define tiers that raise the commission the more the shelf sells. A real example of a promoter at the market, with a monthly goal of $300:

On every partner, franchise or consignment shelf there is a Commission button that opens the deal editor: associate %, monthly goal, tiers, fixed contribution, guaranteed minimum, preferred reading (associate/house) and the switch "use this shelf's own commission" (to ignore the sales associate's deal when you want the shelf's to rule).

Weekend fair: temporary shelf

For 2–3 day events (a craft fair, a Christmas bazaar) create a shelf marked as Fair with its own commission. When you close it, it is archived with its whole history and you jump straight to Commissions to see its settlement, without mixing its numbers with the rest of the year.

Shelf photos with a goal traffic light

The Shelves view shows a real photo of each point of sale (taken with the phone camera) next to a traffic light of how much of its monthly goal it has reached. It is the fastest way to know, without opening numbers, whether a shelf is doing well.

Section 7

Sold: touch grid + scanner + end of day

Sold is not a shopping cart: it is real-time inventory control. Each tap is one unit less in stock, with 5 seconds to undo.

Three ways to record a sale

1. Direct tap

A grid with every product on the active shelf, stars first. One tap = one unit sold. The customer chosen in the selector applies to every tap.

2. Scan or search

Type or scan the barcode / SKU. The app plays a confirmation beep and shows the full card with price, stock and status.

3. End of day

For those who don't record live: note how many units of each product went out and apply it all together at the end of the day. It deducts stock and calculates commissions just like a normal sale.

Undo a sale: after each tap a 5-second notice appears: "Sale recorded, tap here to cancel". Perfect for when the customer changes their mind or there was an accidental tap.
Customer at the top or below: you can choose the customer in the selector at the top of Sold, or inside the sale panel ("Sell with info" button). The panel also has a + New button to register a new customer on the fly: it is created and stays selected in the sale and in your customer list. You can also add notes to the sale (for example, "customer asked for an invoice" or "took the last one in size M"), which are saved with the sale.

End-of-day example: a Latin American bookstore

The bookstore downtown does not record sale by sale during the day. At closing time, the owner counts what is missing from the table and notes:

When applied, the app deducts the stock of the 3 books and adds those sales to the day's summary, as if they had been recorded live.

House sale, courtesy and on account

House sale is a pure house sale: no commission is assigned to anyone and the shelf's sales associate does not change. It is chosen sale by sale; picking a sales associate is never required.

Courtesy: the customer does not pay (revenue $0), but the cost still counts. On account (fiado): the sale is added to the customer's debt in Customers; it needs a chosen customer.

Section 8

Labels: barcode and QR ready to print

Each product generates its own label with a real (scannable) Code128 barcode and an optional QR containing the product code. It does not open a web page or publish business data. Everything is drawn locally, without depending on any outside service.

What the printable label includes

  • Product name and large price (easy to read from a distance on a counter)
  • Expiry date if the product is perishable
  • Code128 barcode scannable by any reader
  • QR code with the product's code, for compatible readers. It does not open another app or publish a page about your business.
  • You can tap the barcode to print only the code, or save it as a PNG image — ideal for stickers made outside
Recommendation: print labels in batches once a week for everything that arrived new. A sheet of 20 self-adhesive labels costs between $0.50 and $1.20 at an office-supply store — make it worthwhile by labeling only what actually turns over.

On iPhone: tapping Print opens Safari's print sheet. From there you choose an AirPrint printer or save/share the result.

Section 9

Customers and the seasons matrix (RFM)

Each customer receives a unique code when they register. The app automatically classifies each one into a "season" based on how often they buy and how much they spend — the same logic big chains use (RFM: Recency, Frequency, Monetary) but told through planting metaphors, easy to remember without marketing courses.

Autumn — cooling off

They used to be among your best customers and haven't come by in a while. Reach out today: this is where lost money gets recovered.

Summer — in full harvest

They buy often and buy big. Take care of them like gold: they're your most stable income.

Winter — asleep

No signs of life. A personalized message can wake them up.

Spring — growing

Just sprouting. Water them: a little attention and they come back.

Right: bought recently. Up: spend more money. (Hover over each quadrant.)

How it's used in practice

Register the customer at the counter

Name and phone (optional). The app generates a unique code instantly — you can show it to them or write it on their receipt.

Select them when selling

In Sold, the "Customer" selector applies that code to the sale. This way the app builds their history with no extra work.

Check the matrix once a week

The Autumn quadrant is your priority reactivation list: these are customers who already proved they buy big, they just need a nudge.

Real case: at the Andean clothing boutique, "Doña Carmen" bought 4 times in 60 days for a total of $145 (summer), but "Sr. Andrade" bought 3 times for $210 more than 70 days ago — he fell into autumn. A WhatsApp message with the new alpaca scarf collection ($25–35) can win him back before he reaches winter.

Import your whole customer list at once (CSV)

If you already have a customer list, the owner can upload it all at once from the "Import your customer list from a file" block, at the bottom of this same section. It needs a CSV with two columns — name and phone — and each customer automatically gets their unique code. The exact format, with an example and rules, is in Section 13. The employee doesn't see this button: for them, only the manual registration above exists.

Editing and deleting customers: the owner and admin can edit any customer's contact info and notes (✎ button) and also delete them completely (Delete button). Deletion is permanent — the customer disappears from the list and the sales selector — but it's always recorded in the activity log: who deleted them, whom, and when. The employee doesn't see the delete button.

On account (fiado), store credit (abono) and pending payment

On account (fiado) is what the customer owes you. Store credit (abono) is credit in their favor: it can be for a specific product or "undetermined". Each customer's balance is always calculated from their history, never typed in by hand.

The Pending payment button shows, with one tap, only the customers who owe you money. If the app couldn't verify someone's balance, it tells you instead of hiding it.

Section 10

Commissions: what you owe each promoter

Calculated sale by sale, no Excel and no surprises. Every partner, franchise, or consignment shelf shows up here with its settlement for the month.

What each settlement card shows

  • Gross sales for the month for that shelf
  • The promoter's commission (based on their fixed % or their tier scale)
  • Net amount left for the owner
  • Monthly goal achievement, if the shelf has one defined
  • Alert if the shelf has gone 7+ days without a single sale ("sleeping shelf")
  • "Mark as paid" button once you transfer or hand over their commission
  • Where the % comes from: if the sales associate has their own deal, the card says so ("using the sales associate's own deal"); if not, it uses the shelf's standard rate
  • Fixed contribution and deal notices (for example, if the fixed contribution is ignored because the shelf uses goal-based tiers)

Telling the sales associate: sale notice, payment method and statement

After a sale. When a sale carries a commission, a card appears for 20 seconds: "Tell Ana their piece sold?". Tapping it opens WhatsApp with the message ready (what sold, where, for how much, and their commission). Nothing is sent until you tap send. It does not appear for a house sale or if the person has no phone saved.

When you pay. Mark as paid asks how you paid (cash, transfer, store credit or other). The paid month then shows it, for example "paid · cash", and the WhatsApp receipt says "Pagado con".

Their statement. Send statement on the shelf card sends the person a link with their month: what sold, their commission, what is paid and what is still owed, plus any returns. You choose whether the link works for 7 or 30 days. The link carries the data encrypted inside itself: it is not stored on any server, it shows only that person's sales (never your customers or your costs), and it stops opening when it expires. Because nothing is stored on a server, a link already sent cannot be cancelled; that is why it expires.

Everything sold this month adds up

At the top of Commissions, Everything sold this month splits every sale into: sales with commission, house sales on shared racks, and your own racks. The total is the same number as Sold. Returns of already-paid sales and the fixed contribution that was deducted appear below it, so no money is left out of view. Each rack card also shows its house sales and the rack total.

By product / SKU includes all products sold in the selected month, including your own racks. Each product shows its total and separates sales with commission, house sales on shared racks, and own-rack sales. Own-rack sales never create a commission payment.

Fixed contribution and guaranteed minimum apply to each sale. The rack card shows what was actually deducted this month.

Balance. Your inventory counts as an asset at cost, and only what is yours. The same stock at sale price and the pieces on consignment (they belong to the consignors) are shown below it, for reference.

Markdown by time on the shelf

In a shelf's commission editor, Mark down by time on the shelf lowers the price of items that have been there a long time, for example 10 % after 30 days and 25 % after 60. It is off until you turn it on, and it works per shelf. The list price never changes: the markdown applies when you sell, and each sale keeps the price it had. The commission is calculated on what you actually charged. Today warns you 3 days before a price drops. A price you type in "Adjust price" or a courtesy always wins.

Customer loyalty

In Advanced, Customer loyalty lets you reward regulars: every N purchases, the next one gets a discount. It is off until you turn it on. Purchases are counted from the sales recorded for that customer, so every device shows the same number; voided, returned and courtesy sales do not count. When you pick the customer in a sale, the app tells you if the discount applies and offers a button to apply it. It never applies it on its own.

Consignor artists add their own pieces

An artist who leaves pieces with you on consignment (the consignor: the pieces are theirs) can add those pieces to their own shelf, on a device of your store, with a PIN of their own. This is not for a sales associate who sells for you: a sales associate earns a commission but does not own the pieces. Open that person's editor in Commissions (✎), go to Artist access, type a 3-digit PIN and tap Save artist access. The shelf is the one assigned to that person; without one, they cannot add pieces.

What the artist can do. Add a piece with its name, price, how many and a photo; see their pieces with how many are left; and print the label of each one. What they cannot do. Change or remove a piece after saving it (you or an admin can), see sales, money, customers, other shelves or any other screen. What sold and what you owe them still reaches them through Send statement.

The PIN cannot match anyone else's PIN. Turn off access closes it on every device of the notebook. A device that has not updated yet does not know artists: there, the artist PIN simply does not open.

Editing a sales associate (✎)

Tap the ✎ Edit button on a sales associate's card (or the promoter's name inside a settlement) to open their editor. There you can change their name, base %, monthly goal, tiers/scales, payment details (phone, ID number, bank, account), and notes. If the sales associate has their own goal and tiers, these override the shelf's.

Goal-based commission tiers

In the sales associate's editor (or the Commission button on a shelf) you can define tiers: the % rises the more they sell in the month. Example with a $300 goal: up to $80 → 25%, up to $100 → 30%, up to $120 → 35%, $999+ → 40%. The % applies to the total sold, not just the amount over the previous tier.

RFM matrix for promoters

At the bottom of Commissions, a 4-quadrant matrix classifies each promoter by value (monthly sales) and recency (days since their last sale): Champions (high value and active), At risk (high value but asleep), Promising (active but low value), and Asleep. Same logic as the customer matrix, applied to your sales team.

Promoter ranking

An automatic medal board showing units sold, gross sales, their strongest SKU, and an alert if any promoter has gone more than 7 days without selling anything — useful for catching early whether someone needs support or training.

Send summary via WhatsApp: a button automatically puts together the day's summary (sales, pending commissions, critical stock) and opens WhatsApp ready to send it to whoever you choose — no copying and pasting numbers by hand.
Section 11

BCG matrix for your inventory

Based on sales from the last 60 days, it automatically classifies each product into one of four classic portfolio-management quadrants — without you having to calculate anything.

Up-and-Comers

They don't sell much yet but are on the rise. Give them display space and room to grow.

Stars

They sell a lot and are climbing. Protect their stock — they're your immediate future.

Dead Weight

No movement in 60 days. Free up that capital with discounts or bundles.

Cash Cows

They sell a lot, steadily. They fund everything else in the business.

Right: selling above average. Up: growing. (Hover over each quadrant.)

How to use it every month: check cash cows to make sure they never run short on stock (they're your cash flow), check up-and-comers to decide which ones deserve more shelf space or a "new" tag, and check dead weight alongside Inventory's black filter to plan a joint clearance sale.
Section 12

Advanced mode: the accounting layer

This is where the business's technical detail is — activity, expenses, and lightweight accounting (P&L, balance sheet, and valued inventory). It's not for everyday use; it's for the accountant, the administrator, or the owner who wants to see the numbers in depth. That's why it asks for its own sub-key.

Monthly expenses

Rent, electricity, salaries, internet, etc. You enter the monthly total for each location and the app spreads it across the actual days in the month (28 to 31) to estimate today's operating expense within the P&L.

Example: a store downtown with rent $280, electricity $35, internet $25, and a part-time helper $180 adds up to $520/month. Over July's 31 days, that's $16.77/day in operating expense, which the app automatically subtracts from today's gross profit.

Petty cash (in the Expenses tab)

Cash control for each shelf is now in the Expenses tab (it used to be inside the shelf's folder). Pick the shelf, see its balance, and record a + Deposit or − Withdrawal with its reason. Only the owner and admin see it; it's operational cash control at the physical point of sale, it doesn't replace the P&L or commissions.

Tax (sales tax, VAT, GST): above the P&L you set your business tax: rate, name and how it applies. Included in the price (VAT/IVA) or added when charging (US sales tax). A country selector suggests values, and you pick your currency there too. Each sale keeps the tax it had when it was made, and tax-exempt products are marked in their card. It is a notebook setting: it applies to all your devices and goes in the backup. Only the owner or an admin can change it. Either way, this is an input for your accountant, not a filing with the tax authority.

Simplified balance sheet and valued inventory

The balance sheet adds the day's estimated cash to the value of your entire inventory at sale price. The valued inventory breaks down, product by product, how much it's worth at cost, how much at sale price, and what your potential profit would be if you sold everything today — useful for knowing how much capital you actually have "tied up" on the shelf.

Recent activity

A chronological log of everything that happened: sales, stock adjustments with their reason, new products added, voids, star changes, transfers between shelves, and commission settlements. It's your anti-discrepancy logbook — if something doesn't add up at month's end, the full trail is right here.

Section 13

Export accounting CSV and back up

friendly-123 never depends on an outside server to keep your data. It is saved on your device (and, if you turn on the shared notebook, it travels encrypted between your devices), and you decide when to export it, in different formats depending on what you need.

Format A — Accounting report in CSV (for your accountant)

From Advanced → "Download accounting report (.csv)". It's a quote-delimited text file that Excel or Google Sheets open directly, with correct accents (includes UTF-8 BOM). This is the exact structure it generates:

The file downloads under the name reporte-contable-friendly-2026-09-22.csv — the download date always stays in the filename so versions don't get confused.

Recommendations for the CSV:
  • Download it the same day you send it to your accountant — it's a snapshot of the current day, not a historical cumulative.
  • Open it in Google Sheets if you're going to share it by link instead of as an attachment; it keeps the accents thanks to the BOM.
  • If you manage several locations, download it once per shelf/branch (select the location above before exporting) — the report always corresponds to the location active on screen.
  • Keep a monthly copy in a folder named after the month; with 12 files a year you have your complete accounting history without depending on anyone's cloud.

Format B — Full encrypted backup (.json)

This is the real backup of the whole business: products, sales, customers, shelves, commissions, and your access codes. It is in Advanced, below the accounting sub-key, because it's a sensitive action.

Export backup

The app asks you for a passphrase of at least 8 characters to protect the file (you can leave it blank, but it's not recommended). It downloads as respaldo-friendly-2026-09-22.json.

Keep it off your phone

Send it to yourself on WhatsApp, upload it to Google Drive, or email it. If your phone is lost or damaged, this file is the only way to recover the entire business.

Import backup (if you need to restore)

Advanced → Import backup → select the file → enter the passphrase. This replaces all current data — the app always asks for explicit confirmation before proceeding.

Important: if you lose the passphrase to an encrypted backup, that file cannot be recovered — there's no backdoor. Write the passphrase down somewhere other than the file itself.

Format C — Import your customer list (CSV)

If you already have your customers in Excel, on your phone, or in another app, there's no need to type them in one by one. Save your list as a CSV and upload it from Customers → (at the bottom) "Import your customer list from a file". Only the owner sees this button; the employee can only register customers by hand.

The file needs two columns, name and phone, in that order. The first row can be a header (the app detects it and skips it). Here's what a valid file looks like:

When it's done, the app tells you exactly how many it added, how many it skipped as duplicates, and how many it ignored for having no name — so you know your whole list came through.

How to get the CSV from Excel or Google Sheets: leave your data in two columns (name, phone), then File → Download / Save as → CSV. If, when you open the file, you see the names separated by commas, it's ready for friendly-123.

Automatic restore points

In addition to the manual backup, friendly-123 saves — only within that browser — a snapshot of your data every so often, in case you delete something by accident. This doesn't replace the manual backup: if the browser cache is cleared or you switch phones, those points are lost with it.

Format D — Automated backup to yourself (email and/or WhatsApp)

The safest way to never lose your data through forgetfulness. In Advanced, with the frequency slider, you choose how often you want the app to force you to back up — daily, weekly, biweekly, or monthly — and through which channels, email and/or WhatsApp. Monthly is the mandatory minimum and can't be stretched further: that way, if you completely miss a month, you never lose more than 30 days of history. You set and change that frequency whenever you want.

The backup goes to YOU, not to us. It never passes through any server. The app uses the very email and WhatsApp you already have set up on your phone to make you send your information to yourself:
  • On phone or tablet: tapping "Back up" opens your own phone's share menu with the file already attached. You pick your WhatsApp or Gmail, send it to yourself, and that's it. You don't have to find or attach anything by hand.
  • On computer: the file downloads and email/WhatsApp opens with the message already written; there you attach the file you just downloaded and send it. It's the most that's possible without a server on a laptop.
Your code (PIN) uses exactly the same method. When you recover it, the app always shows it on screen and also opens an email from you, to yourself, with your code inside, so it stays saved in your inbox. Same as the backup: it never passes through a server. Also, if you want to share data between two devices, you also have QR and optional syncing, both in Advanced.
Section 14

Transfers between shelves

The most common pain point in businesses with more than one point of sale: one shelf runs out of stock while the one next door has plenty to spare, and nobody notices until the customer has already left. friendly-123 catches it at the exact moment it matters most.

How it works

  • When a product is red or orange, the app checks whether that same SKU has healthy stock at another active shelf.
  • If it finds one, it shows a direct notice on the product's page: "There are 18 units at Local Downtown" with a button to request the suggested transfer.
  • The suggested quantity always leaves enough stock at the origin (it never empties out the lending shelf).
  • The origin owner approves the transfer from Advanced — at that moment the stock is deducted from the origin and marked "in transit".
  • The destination owner confirms receipt (also from Advanced) — only then is the stock added to the destination. If the same owner manages both locations, these are two separate taps: one to approve and one to confirm.
Case: the Farmers Market Stand was left with only 3 Queen T-shirts (red threshold: 6). Local Downtown has 20 units of the same SKU. The app suggests transferring 7 — half of the available surplus — without anyone having to go count shelf by shelf.

Security, automatic backup, and offline mode

Access codes by role

Three 3-digit codes, encrypted on the device (owner, employee, accountant). A recovery email lets you generate a new one if it's forgotten.

Double-tab guard

If you open the business in two tabs or devices at once, the app detects it and warns you — this keeps a sale from being lost because the last tab to save "overwrote" the other.

Error black box

Saves the last 20 technical errors on the device. If something fails, you can send that information to support via WhatsApp without needing any developer tools.

Multi-device sync

In "Sync your team", copy your team's license and share it once with each device. Same license, same notebook: sales, stock, and PINs stay synced automatically. The notebook's data travels encrypted between its devices; FRIENDLY-123 cannot read it.

Offline mode (PWA)

The app's "shell" — screens, buttons, logic — is saved on the device the first time you open friendly-123, so it opens again even without signal. The only things always requested fresh, never from cache, are your actual data and version updates.

Good weekly habit: on Sunday nights, export the encrypted backup and download the accounting CSV for the current month. It takes less than 2 minutes and it's the difference between losing a bad day and losing an entire business.

If you forget your code

Tap "Forgot?" on the sign-in screen. If someone on the team forgot their PIN, the owner or an admin can change it from the team list (Advanced → Team & access).

Your instance, your team, and fraud control

These are the new features that turn friendly-123 from "a pretty mockup" into your business, with your people and your rules.

Try it, activate it, and buy it

With PIN 456 you enter the sample store: fictitious data for practicing selling, adjusting stock, and closing the day. The sample store never expires.

With PIN 789 you activate your instance: you register your email and your WhatsApp, and the device becomes yours, with a unique identifier so your data never gets mixed up with another business's. From that day you have 30 days of full use, with no caps.

When the trial ends without a paid license, the app switches to read-only: you can view and export all your information, but not record anything new. Your data is never deleted. To keep recording, buy your license via WhatsApp +593 99 990 5080 or at staff@jfcarpio.com. The paid license covers every device of your business and activates itself, with no need to log in again.

Your data is yours. It's saved on your device. If you activate the shared notebook, it travels encrypted between your devices and no one else can read it.

Your business name, at the top

As the owner you'll see a pencil ✎ next to the title above. Tap it and type your business's real name: it's saved in your instance and travels along with your backups and syncs. If it fails for some reason, the default title stays and nothing else breaks.

Your team: employees with their own PIN

In Advanced → Employees you can add up to 49 employees, each with their name and their 3-digit PIN. When they log in with their PIN, every move they make is signed with their name in the history: who sold, who adjusted stock, who voided. Use PINs different from yours and the accountant's.

Fraud control

In Advanced → Fraud control you get, at a glance, three things:

History integrity

Every move is sealed and chained to the previous one. If someone edits or deletes history on the device to cover up a shortfall, the seal doesn't match and it shows up here in red, pointing out where it broke and which person surrounds the break.

Voids by person

How many sales each employee voided today. The classic trick — selling, collecting cash, and then voiding the sale to pocket the money — leaves a trail here.

Shrinkage by person

How many units each employee removed by hand (negative adjustments). Theft disguised as "breakage" or "shrinkage" shows up totaled, with a name.

Technical honesty: since everything runs on your device, the seal detects common tampering and leaves evidence, but it's not proof against an expert with time on their hands. For the day-to-day of a kiosk, it's exactly the safety net you need.

Shared notebook: your whole team up to date

If you run the business on more than one device (register and warehouse, for example), open Advanced → Sync your team, copy your business's license, and enter it once on each device. Same license, same notebook: sales, stock, customers, and PINs stay synced automatically. Data travels encrypted end-to-end.

One license is one business: don't create a parallel business on another device. With both devices online and awake, the goal is for changes to appear in under 2 seconds; if one is offline or Safari put it to sleep, it keeps its copy and catches up when it reconnects. The indicator next to Help shows the state: synced, connecting or offline. Being connected does not replace the downloadable backup.

Installing is optional

friendly-123 always works by going to your URL. If you want, your phone will offer "Add to home screen" so you can have it as one more icon, but it's an extra, not a requirement. The first option is always to just go there.

Five different businesses, five different ways to squeeze the most out of friendly-123. All figures are in dollars, at real small-business scale.

Rock shop — 3 shelves in Austin

Local Downtown (own), Stand Farmers Market (partner, tiered commission), and Makers Fair (consignment). Sells T-shirts, vinyl records, souvenirs, and collectibles.

  • Inventory: 61 active SKUs, total sale value ≈ $3,540, average margin 55%.
  • Using the traffic light: every morning the owner filters Inventory by red (typically 3–5 products) and restocks before opening; checks black once a week to clear out collectibles with no movement in 45+ days (e.g., the "The Wall" VHS, asleep since April).
  • Commissions: the Farmers Market promoter earns between $20–41/month depending on her tier; the owner sees at a glance if any shelf has been asleep for 7+ days.

Toquilla straw hats, filigree earrings, alpaca scarves and shawls, beaded bracelets. Higher average ticket than the other cases.

  • Real prices: Toquilla straw hat $30, filigree earrings $22 (star , 73% margin → yellow), alpaca scarf $25, embroidered shawl $35.
  • Using the color yellow: the filigree earrings have a very high margin (cost $6 against a $22 price) — the app automatically flags them yellow. The owner uses them as an "entry product" on social media because each sale leaves a lot of profit.
  • Customer matrix: occasional tourists naturally fall into spring or winter; frequent local customers (weddings, events) reach summer — the boutique notifies them first about new collections.

Boutique bookstore of Latin American fiction

A curated catalog of 8 contemporary authors: Mariana Enríquez, Fernanda Melchor, Samanta Schweblin, Dolores Reyes, among others. Prices between $17 and $22.

  • Naturally low thresholds: these are limited-print books — typical red threshold of 3 units, yellow of 6. With only 2 units in stock, "Mugre rosa" already lights up red.
  • Day close: since sales are few but high-ticket, the owner doesn't record them live — uses the day close when closing the bookstore, noting how many copies of each title went out.
  • Labels: prints a barcode + QR with each book’s code for a compatible reader. The QR does not open the synopsis on a phone.

Neighborhood store / minimarket — basic goods

Water, batteries, tape, gift bags, gum. Tight margins by the nature of the category.

  • Low margin: Still water 600ml costs $0.70 and sells for $0.80: a margin of just 12.5%. In high-turnover basics that is normal, but it's worth negotiating with the distributor every six months. Review these margins in the accounting report.
  • High turnover, low ticket: ideal for the touch-grid Sold mode — dozens of quick taps a day without typing anything.
  • Accounting report: with margins so tight, the owner checks the accounting CSV every week (not just monthly) to make sure volume really does make up for the low margin.

Weekend market — 2–3 day event

An artisan fair or Christmas bazaar using the temporary shelf "Weekend market" with a consignment commission.

  • Before the event: the owner opens the market from Inventory → Shelves, sets the event's name (e.g., "Holiday Market") and its commission % (30% in the default example).
  • During the event: products are assigned to that shelf and sold via the touch grid — fast, frictionless, ideal with a long line of people.
  • At closing: one tap archives the shelf (keeps its entire history) and jumps straight to Commissions, showing the settlement ready to pay the consignee that same night — no waiting for month-end close.

Frequently asked questions

The app always goes with whichever signal is more severe: if expiration is more urgent than the stock level, expiration wins (and vice versa). Colors are never combined or averaged — a product shows only one color at a time, the most urgent one.

No. The Today view, the Advanced reports, and commission detail are reserved for the owner's code (and the accountant's for the accounting layer). The employee sees stock, recorded sales, and star products, never profit amounts.

The shelf is where you actually sell (the counter, the stand, the market table) — it's the operational unit. The branch is a grouping the app uses for reports and for organizing several shelves under one name in the Inventory → Shelves manager.
